Privet Tours: Payment Policy

This Payment Policy applies to all bookings made with Privet Tours and should be read together with the Terms & Conditions. This policy outlines the payment requirements, deadlines, accepted payment methods, cancellation procedures, and refund terms applicable to all tours and travel services offered by Privet Tours.
- Booking Confirmation
1.1 Confirmation of Booking
A booking will only be considered confirmed once all of the following conditions have been met:
- A completed booking request has been received by Privet Tours;
- The required deposit payment has been successfully processed; and
- Written confirmation has been issued by Privet Tours.
Until written confirmation is provided, all reservations remain provisional and subject to availability.
1.2 Booking Method
All bookings must be submitted either in writing or through the official online booking system provided by Privet Tours.
- Deposit Requirements
2.1 Deposit Amount
A deposit equal to 50% of the total tour price is required in order to secure a reservation.
2.2 Application of Deposit
The deposit forms part of the total tour cost and is subject to the cancellation and refund provisions outlined in this policy.
2.3 Failure to Pay Deposit
Privet Tours reserves the right to cancel any provisional reservation that has not been secured by payment of the required deposit within the specified timeframe.
- Final Balance Payment
3.1 Payment Deadline
The remaining balance of the total tour price must be paid no later than 60 days before the scheduled departure date, unless otherwise agreed in writing by Privet Tours.
3.2 Late or Non-Payment
Failure to pay the outstanding balance by the required due date may result in:
- Automatic cancellation of the booking; and
- The application of cancellation fees in accordance with the refund schedule outlined below.
- Payment Methods
4.1 Accepted Payment Methods
Payments may be made using the approved payment methods provided by Privet Tours at the time of booking.
4.2 Transaction Fees and Additional Charges
Clients are responsible for any additional charges associated with processing payments, including but not limited to:
- Bank transfer fees;
- Credit card processing fees;
- Currency conversion charges; and
- Any intermediary banking costs associated with the transaction.
These fees are separate from the tour price and must be paid by the client.
4.3 Currency of Payment
All payments must be made in the currency specified on the invoice or booking confirmation issued by Privet Tours.
- Cancellation & Refund Policy
All cancellation requests must be submitted in writing and will become effective on the date they are received by Privet Tours.
5.1 Refund Schedule
Refunds are calculated based on the number of days prior to the scheduled departure date that the written cancellation notice is received.
- More than 60 days before departure: Clients are eligible for a 100% refund of the amount paid.
- 46 to 60 days before departure: Clients are eligible for a 50% refund of the total tour price.
- 30 to 45 days before departure: Clients are eligible for a 25% refund of the total tour price.
- Less than 30 days before departure: No refund will be issued.
5.2 Refund Deductions
Any applicable refund may be reduced by certain non-recoverable costs incurred by Privet Tours, including but not limited to:
- Non-recoverable third-party supplier costs;
- Banking, transaction, and currency conversion fees; and
- An administrative processing fee of €50 / $50 per person.
These deductions will be applied before the final refund amount is issued to the client.
